Executive Assistant

PURPOSE OF POSITION
To provide administrative support for the extremely hardworking and collaborative members of our Research & Development team. This role requires excellent organizational, prioritization and interpersonal skills, as well as a sense of ownership and flexibility. You will also be working as part of a dedicated Operations team to support the office generally, including events, activities and large meeting planning
Major Responsibilities:
- Provide administrative support including, but not limited to calendar management, travel, meeting planning and other tasks as assigned to the entire R&D team
- Provide more extensive support, such as help with expenses, project management and document/data upkeep for two Senior Vice Presidents
- Manage administrative documents and processes
- Handle confidential materials and information
- Provide event support to Board meetings, scientific seminars and company functions
- Provide backup support to other administrative staff members
Preferred Experience & Skills:
- Outstanding administrative and organizational skills, with emphasis on an ability to identify and manage priorities well
- Excellent collaboration skills and customer service mentality
- Solution-oriented approach
- Self-directed and initiative taking in the daily course of responsibilities. Demonstrated ability to manage multiple tasks in a timely manner
- Can effectively utilize and/or learn to utilize current software and technologies, including Microsoft Office, SharePoint, Expensify and Adobe
- At least three+ years’ experience as an Executive Assistant preferred
- College degree or comparable work experience desired
